6 questionsHow do I start — do you quote before I commit?
Yes. Send the route, dates and rough budget and you get an itemised quote: fare, taxes, hotel, transfers and our service fee shown separately. Nothing is booked and nothing is charged until you approve it in writing.
Can I book directly online instead of talking to someone?
Simple point-to-point flights and hotels, yes. Anything with a visa, a multi-city routing, a group or a corporate policy attached goes through a consultant, because those are the bookings that go wrong when nobody checks them.
How do you build an itinerary — your plan or mine?
Yours. Tell us what you want to see, how fast you like to travel and what you will not compromise on, and we build around it. Most people start from one of our outlines and change half of it, which is the point of having a consultant.
What is included in a package, and what is not?
Every quote lists inclusions and exclusions line by line. As a rule, packages include accommodation, stated meals, transfers and sightseeing with entry fees. They exclude visas, insurance, personal expenses, tips and anything marked optional. If it is not written down, it is not included — ask us and we will add it in writing.
Do you handle group travel?
Yes — family groups, corporate offsites, dealer meets and incentive trips. Group rates and cancellation terms differ from individual bookings, so we quote those separately.
How much does a private tour cost?
It depends on the party size, hotel category and vehicle, so we do not publish a headline number. Give us the dates and group size and you will have a costed itinerary within two working days.
Flights
6 questionsHow do I find the cheapest fare?
Be flexible by a day either side, book midweek departures where you can, and let us hold the fare while you decide — we check the same routing across carriers and fare classes rather than taking the first result.
Do I need to reconfirm my flight before departure?
You do not need to call the airline. We reconfirm schedules for every ticket we issue and contact you if a timing changes. Check in online 48 to 24 hours before departure, depending on the carrier.
How much baggage am I allowed?
It varies by airline, route and fare class — it is printed on your ticket and repeated in the itinerary we send. Domestic economy in India is typically 15 kg checked plus 7 kg cabin; international allowances are usually higher. Excess baggage bought at the airport costs several times more than pre-purchased allowance, so tell us in advance if you are carrying more.
When should I reach the airport?
Two hours before a domestic departure, three hours before an international one. Add an hour if you are travelling in a group, checking sports equipment, or flying from a terminal you do not know.
What must not go in my cabin bag?
Liquids above 100 ml, sharp objects, lighters and matches, power banks above the airline limit, and any spare lithium battery packed in checked baggage. Regulations change, so check the current list on your airline's website before you pack.
Can I get my boarding pass before reaching the airport?
For most carriers, yes — check in online and use a mobile boarding pass. You still need to drop checked baggage at the counter, and some international destinations require a document check in person.
Hotels & meals
6 questionsWhat do EP, CP, MAP, AP and AI mean?
They are the meal plans attached to a room rate. EP is room only. CP includes breakfast. MAP includes breakfast plus one other meal, lunch or dinner. AP includes all three meals. AI, all inclusive, covers meals and usually selected drinks. Your quote states the plan against every hotel night, so you can see exactly what you are paying for.

Is a meal plan compulsory?
No. Many travellers take CP and eat out for the rest, which is usually the better choice in a city. In remote areas with few restaurants nearby, MAP or AP tends to work out cheaper and simpler — we will say which we would pick.
Can I choose vegetarian, Jain, halal or allergy-specific food?
Yes. Tell us at booking, not at check-in. We note the requirement on the hotel reservation and the airline booking, and confirm it back to you in writing.
Will I know which hotels I am staying in before I travel?
Always. Named hotels with confirmation numbers appear on your final itinerary before departure. We do not use "hotel to be advised" bookings. If a hotel becomes unavailable, we replace it with an equivalent or better property and tell you before you leave.
What star ratings do you use?
Three to five star as standard, plus heritage properties, boutique hotels and serviced apartments. Star ratings in India are inconsistent between states, so we work from recent guest feedback and our own site visits rather than the plaque at reception.
What is the child policy?
It varies by property. Most hotels allow one child under 12 free in existing bedding, and charge for an extra bed. Airlines charge infants under two at a reduced rate without a seat. We calculate the exact cost for your party rather than quoting a general rule.

4 questionsWho meets me when I arrive?
A named Tripgation representative, at the airport, seaport or hotel, with your name on a board. You get their mobile number before you fly. They handle the transfer and stay reachable until you are checked in.
What vehicles do you use for tours?
Sedans for couples, SUVs and Innova-class vehicles for families, and tempo travellers or coaches for groups. All air-conditioned, with commercially licensed drivers. Vehicle class is stated in your quote.
Do you provide guides, and do they speak my language?
Yes — government-approved guides in the major destinations, with English and Hindi as standard. French, German, Spanish and Japanese speaking guides are available in most cities with notice.
Something has gone wrong mid-trip. What do I do?
Call the 24×7 number on your itinerary. It reaches a duty officer with authority to rebook flights, move hotels and make payments without waiting for office hours.
Visas & documents
5 questionsWhat documents do I need to travel?
For international travel: a passport valid at least six months beyond your return date, with two or more blank pages, plus any visa your destination requires. For domestic flights within India, a government photo ID such as Aadhaar, driving licence, voter ID or passport. Children need their own ID.
What does a foreign national visiting India need to submit?
Typically: original passport with at least six months validity, photographs to the specified size with a plain background, bank statement, confirmed return ticket, hotel reservation, and depending on the visa type an employer NOC, salary slip, ID card copy, travel insurance, medical report, invitation letter and personal covering letter. Requirements differ by nationality and visa category, so we issue a checklist for your specific case.
How do I start a visa application with you?
Send your passport details and destination. You get a checklist within a day, a case handler who owns your file, and an appointment booked once your documents pass our check.
Can you guarantee my visa will be approved?
No, and neither can anyone else — the decision belongs to the embassy. What we can do is make sure your file is complete, consistent and submitted correctly, which is where most refusals actually come from.
Do I really need travel insurance?
For Schengen countries and several others it is mandatory, with a minimum cover level. Everywhere else it is optional and still worth buying. We will tell you plainly when we think you can skip it.
Payments & cancellation
5 questionsHow do I pay?
UPI, net banking, NEFT or RTGS, and major credit and debit cards. Corporate accounts can be set up on credit terms after a credit check. You will receive a GST invoice for every payment.
Is it safe to give my card details for a real-time booking?
We do not take card numbers over email or WhatsApp, ever. Payment goes through a secure payment gateway link that we send you, or through your own bank transfer. If anyone claiming to be from Tripgation asks you to type card details into a chat, stop and call the office number.
When is the balance due?
An advance confirms the booking; the balance is due before documents are issued. Exact amounts and dates are stated on your invoice — airline and hotel deadlines drive them, not us.
What are the cancellation charges?
Cancellation charges depend on how close to your travel date you cancel. Flight tickets follow the airline's own fare rules, which can be stricter, and any third-party product such as a cruise, rail booking or festival-period hotel follows that supplier's own terms.

Do you offer a money-back guarantee?
We do not advertise a blanket guarantee, because once an airline or hotel has taken your money the refund is governed by their rules, not ours. What we do guarantee is our own service fee: if we make the error, we refund our fee and cover the cost of fixing it.

3 questionsWhat does a corporate account get that a walk-in booking does not?
A named account manager, your travel policy built into the approval flow, negotiated hotel and airline rates, consolidated monthly invoicing with GST, and quarterly savings reporting.
Can you enforce our travel policy?
Yes. We configure grade-wise entitlements, advance-booking rules and fare ceilings, then route out-of-policy requests to your approver rather than quietly booking them.
How long does it take to set up an account?
About a week from first meeting to first booking: a policy conversation, credit terms, traveller profiles loaded, and a short walkthrough for whoever raises requests.
